  • The Senior Executive Administrative Assistant will be responsible for assisting and supporting the Vice President of Clinical Development as well as 2-3 others in a fast-paced, global environment.

  • Complete various projects and special assignments by understanding objectives, determining priorities, managing time, and problem-solving.

  • Must be a proactive and a forward thinker.


  • Together with the VP of Clinical Development help time manage activities.

  • Keep the team on track with schedule and activities that help them be more effective & efficient.

  • Effectively manage appointments and personal access.

  • Support Management Team meetings and fast-track agendas and topics.

  • Organizing and maintaining files and records.

  • Planning and scheduling meetings and appointments.

  • Responsible for coordinating global conference calls and web-conferences.

  • Maintaining multiple daily calendars with the ability to prioritize appropriately and use good judgment.

  • Preparing and editing correspondence, reports, and presentations.

  • Making travel and guest arrangements.

  • Track and manage monthly travel expenses, code and submit expense reports via Concur.

  • Act as a conduit for communication between department.

  • Assist with extensive global travel arrangements.

  • Order lunch for in-house meetings as required.

  • Aid in managing other logistics as needed.

  • Perform administrative duties, including but not limited to, filing, photocopying, faxing, mailing, scanning and sending documents via overnight.

  • Handle confidential material discreetly.

  • Function as a collaborative member of the administrative team and offer support, as requested or needed Other duties as requested.

  • Excellent written and verbal communication skills.

  • Highly proficient using Outlook, Word, Excel and PowerPoint.

  • Ability to understand and follow written and verbal instructions.

  • Ability to deal effectively with a diversity of individuals at all organizational levels.

  • Commitment to excellence and high standards.

  • Strong organizational skills; able to manage priorities and workflow.

  • Ability to type a minimum of 55 words per minute.

  • Versatility, flexibility and a willingness to work within constantly changing priorities with enthusiasm.

  • Dependable.

  • Experience using Concur or another online travel booking and reimbursement system.

  • Ability to maintain confidentiality.

  • Experience with and desire to work in a lean and fast moving organization with shifting priorities.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
